Here's the process of handling sponsorship requests and creating deals within the HubSpot GPE portal.

1. Accessing Sponsorship Requests:

  • Log in to HubSpot and select the GPE portal.

  • Navigate to "Conversations" > "Inbox".

  • Choose the "Sponsorship" option from the drag-and-drop menu.

2. Review Unassigned and Assigned Messages:

  • Check both unassigned and assigned messages to ensure all sponsorship requests are accounted for.

3. Respond to Webmasters:

  • Reply to webmasters based on their requirements and inquiries.
  • If an email is unrelated to the sponsorship campaign but is related to link building, move the conversation to the "Link Building" inbox.
4. Use a Title and Contact Assignment:
  • When replying to emails, the conversation will be automatically assigned to the contact who initiated the email.
  • Emails replied to by webmasters from unassigned inboxes will move to the "Assigned to Me" section.
  • Once you've addressed the inquiry, close the conversation.
5. Gather Necessary Information:
  • Before finalizing sponsorship pricing, collect all required details from the webmaster. Pay special attention to anchor text (keyword) and anchor link (URL) preferences, as these are essential for creating deals in HubSpot.

Creating Deals in HubSpot:

  1. Navigate to the GPE Portal:

    • Access the GPE portal in HubSpot and select "Sales" > "Deals."

  2. Deal Pipeline Stages: HubSpot offers various pipeline stages for different aspects of sponsorship campaigns.

  • Interested- Create a deal in the interested stage if you think the webmaster is interested and pricing is finalized. 
  • Pending approval- Create a deal in the pending approval stage if you want to take approval for the title and content that you want to publish on the website. This is especially for guest posts. 
  • Approved- If the title is approved by sir, then move the deal to an approved stage. If not, then he will add his comments accordingly. 
  • Content pending- Say if the title is approved, then wait for the webmaster for the content, either for a guest post or link insertion or any other sponsorship option they are interested in. 
  • Content in review- Move the deal in this pipeline if you have received the details or content, and it's shared with the content team for publishing or making it live.
  • Payment pending- Your deal should be in the payment pending stage once you have added the link or made the content live. 
  • Won- Say if the payment is received in the webdew account, then move the deal in the Won pipeline. 
  • Lost- If the content is rejected, the webmaster is not replying, or the payment is not made, remove the link if added and move the deal in the Lost pipeline.

Completing the Deal:

  • After filling in the required information, click the "Create" button to complete the deal creation process.

Invoice Process:

  • Process-1
    You can directly share this link with the webmaster “https://www.paypal.com/paypalme/webdewca” and ask for the screenshot after the payment.
  • Process-2
    You have to add the details the same as I have shared in the sample invoice. You will share these details with the accounts department, and they will share an invoice link with you.

I have shared a sample invoice link with you for your reference. You will share this link with the client and check if they have paid the invoice or not.


What to ask from the client for an invoice-


Share with me your company details (name and address) and PayPal ID so that I can share you the invoice.
