ClickUp: Do’s And Don’ts
This internal KB is in regard to the Do’s And Don’t of ClickUp
- Do’s And Don’t of ClickUp
2.1 Do’s of ClickUp
- ClickUp Setup:
- ClickUp must be logged in to your laptop/system.
- There must be tasks assigned to you for the work on which you are aligned.
- If there is no task on ClickUp then get created and assigned to you by your lead/Manager
- List Level:
- The list must be created with the name of the Project/Campaign
- There must be a description added to every list for the project/Campain
- Description of the list/Task must be used to convey the information/details in regard to the project/campaign/task
- Description of the list must be used to share the relevant documents or assets related to the project/campaign
- Attachment must be shared in google drive and the link can be posted in the description of the list
- The template can be used if the projects have similar steps as per the service
- The templates must be up to date
- Every list must be integrated with the respective slack channel
- Task Level:
- Only Leads/Managers can create and assign tasks for team members
- Every task must be assigned to the team member
- The due date must be set for every task
- Due dates of the task. subtask must be up to date
- For a Routine kind of task, the last date of the month can be set as the due date
- Every Task other than the project must have a description
- Description of the task must be used to share the relevant documents and assets related to the project/campaign
- Attachment must be shared via google drive and the link can be posted in the description of the task/list
- The checklist can be added to tasks if the tasks have similar steps to perform
- The checklist must be up to date.
- Log your time on the assigned task only
- Turn on and off both the tracker simultaneously (ClickUp and Time Doctor)
- Always use the comment section of the task for any kind of communication-related to the task/campaign/project
- Project/campaign level communication must be on ClickUp using the comment section of the task
- Status of the task
- Change the status of the task whenever you are going to work on the specific task
- The status of the task must be up to date.
- The team members can put the task on the “Review” stage after work is done
- Leads/Manager can review the task and close the task
- The task can be closed after commenting on the respective task
- Project Summary
Project Summary is for Leads/Managers only
- Lead must keep the project summary list up to dated
- The status of the task (Project) must be up to date
- Dates: Start date, Due Date, and Close date must be up to date
- Leads must update the project summary on regular basis.
- The tickets Column must be updated for Projects
- NPS survey Column must be updated for Projects
- Team Column must be updated for Project.
- Meeting Task:
- Meeting tasks must be used for meetings and MOM must be shared in the comment section of the “Meeting task” in the respective project/Campaign
- Notepad:
- To make the notes, ClickUp Notepad must be used
- Notifications:
- Notifications must be checked from time to time
- Notifications must be cleared and replied to on time
2.2 Don’t ClickUp
- No one can create the task other than the Leads/Manager or an authorized person
- No attachments are allowed to be put directly on ClickUp
- The task can not be marked as closed until and unless there will be a comment to close the task
- The task can not remain unassigned
- The task in the project summary can not be marked as close until we get the reviews.
- Edit the time on ClickUp is not allowed
