How you can create, customize, and manage your Saved Views in HubSpot

In your HubSpot CRM, you can view the records of your objects (contacts, companies, deals, and tickets).

You can filter these records on the basis of their property values to limit the view of the records for analysis. This set of filters can be saved as a view.

When you select the view, the same set of standards will be applied to give you a quick summary of the objects that meet those standards.

How to create a Saved View in HubSpot

To create a new Saved View:

  • Go to the record of objects i.e. contacts, companies, deals, or tickets, in your HubSpot account.
  • For the deals and tickets home, make sure to be in the table format. Switch to  table icon from the upper left if you are in the board format.
  • Click Add view, next to the existing tabs. Click Create new view from the drop-down.
  • A new window, Create a saved view will be opened.
  • Enter the name for the view and select the users you want to share the view with.
  • Click Save.

How to set the criteria for the new View

To set the criteria for new Saved View  for Contacts and Companies:

 

To set the criteria for new Saved View  for Deals and Tickets:

  • You can select the default property from the drop-down from the top of the table and select the values by which you want to filter the records. 
  • For other properties, click More filters.  From the right window, search and select the property, then define the criteria.
  • To save the filters, click Save view in the upper right and select Save.
  • If you want the view to return to its original saved version, select Reset. That will remove any filters you've applied to it.

How to access and edit a Saved View

To access and edit a Saved View:

  • Go to your objects i.e contacts, companies, deals, or tickets, in your HubSpot account, .
  • In the table format, you can access a saved view in the following ways:
    • Click the tab of the view when available.
    • Click Add view and select the saved view.
    • Click All views, select the view, and click the saved view.
  • To access a saved view for deals and tickets, in the board view, from the upper left, click the second drop-down and select a saved view.
  • In the view, you can set the criteria:
    • You can select the default property from the drop-down from the top of the table and select the values by which you want to filter the records.
    • For other properties, click More filters. From the right window, search and select the property, then define the criteria.
  • To save the filters, click Save view in the upper right and select Save.

How to pin your Saved View as a tab so that it appears by default in HubSpot

If you want your view to always be accessible in a tab, you need to pin it. To pin your Saved View:

  • Go to contacts, companies, deals, or tickets, in your HubSpot account.
  • For your deals or tickets home, make sure it's in the table format. 
  • Click Add view and select the view that you want to pin.
  • In the view, again click the tab and select Pin view to keep open.
  • Once the view is pinned, you can make the saved view the default view by clicking the tab and selecting Make default view.

How to manage Views in HubSpot

To manage Views in HubSpot:

  • Go to contacts, companies, deals, or tickets, in your HubSpot account.
  • For the deals or tickets, make sure it's in the table format. If you're in the board format, click the  table icon in the upper left.
  • Click All views and you can see your saved views, which includes:
    • Standard views by HubSpot.
    • Views you've created.
    • Views created by others and shared with you.
  • To edit any existing view, hover over the view and click the drop-down from Options to perform any of the following options:
    • Create report: select to create a custom single object report using filters. 
    • Clone: select to clone this view. In the new window, enter the clone view's name and click Save.
    • Delete: select to delete the view. In the new window, click Delete.
    • Export: select to export the records in the view.
      • In the new window, click the drop-down File format to select the format for your export file.
      • Select either  Include only properties in the columns or Include all properties.
      • Click Export. An email with a link will be delivered to your email inbox once it is processed.
    • Manage sharing: select to choose the users who can see your view.
      • In the new window, select Private to keep the view private, My team to share it with your HubSpot team, or Everyone to share it with all users in the HubSpot account.
      • Click Save.
    • Rename: select to change the view's name. In the new window, enter the new name and click Save.
