How you can create automated emails to use in workflows

To send a marketing email in contact-based, company, deal, quote, and ticket-based workflows, you must create and save the email for automation.

In HubSpot, you can create automated marketing emails either in the standard editor or the drag and drop editor. HubSpot also allows you to create automated emails within the workflows tool.

To create automated emails in the email editor

Automated email can be created using either the regular email editor or the drag-and-drop editor.

Regular editor

  •  Go to Marketing > Email in your HubSpot account.
  • Click Create email.
  • Select the Automated email type.
  • In the Custom tab, select a template. 
  • Enter an Email name and click Create email.
  • Compose email in the Edit tab.
  • Check settings in the Settings tab.
  • Under Select recipients, ensure that Save for automation is selected.
  • Select Save for automation in the Recipients tab.
  • Click Next to review your email settings in the Review tab.
  • Click Save for automation to publish the automated email. 
Once you publish the automated email, it will be available for selection in the Send email action in workflows.

Drag and drop editor

  •  Go to Marketing > Email in your HubSpot account.
  • Click Create email.
  • Select the Automated email type.
  • In the Drag and drop tab, select a template. 
  • Enter an Email name and click Create email.
  • Compose email in the Edit tab.
  • Check settings in the Settings tab.
  • Next, click the Send tab to ensure that the email is set as automated.
  • You can switch the email type between regular and automated, from the dropdown Actions in the upper right corner. Click the dropdown and select Convert.
  • To publish the email click Review and save in the upper right. Then click Save for automation in the right panel. 
  • Click Save for automation in the new pop-up box.

Once you publish the automated email, it will be available for selection in the Send email action in workflows.

To create automated emails in the workflow editor

Rather than creating automated emails for marketing in the email tool, you can simply create them within the workflow editor itself. Emails created in the workflows tool will be very basic but can be customized further in the email editor.

To create an automated email in the workflows tool

  • Go to Automation > Workflows in your HubSpot account.
  • Either click name of an existing workflow or create a new one.
  • Click the plus icon + to add a workflow action in the workflow editor.
  • Select the Send email action in the right panel, 
  • Click + Create new email.
  • Complete the details of your email in the right panel. To further customize the email, click the email tool link at the top of the panel.
  • After composing your email, click Save email at the bottom.
Once you save the email, you can select it for use in any workflow. You can also access it from your email dashboard for further editing.
