Hubspot management

Recruitment team collectively uses one hubspot account webdew Jobs which is integrated with Gmail id jobs@webdew.com for the hiring purpose. Any communication with candidates is done through this Hubspot account only.

  1. Creating a contact: Contact for any candidate gets automatically created in hubspot when they visit our website, create a live chat or share their resume on our mail ID. Contacts can be created manually also. One can create contacts one by one in hubspot or by importing data from external databases like LinkedIn or excel sheets.
  2. To create an individual contact: open Hubspot> contacts> create contact> add email ID> add first name> add last name> set contact type as candidate> set lifecycle stage as lead> add phone number> create contact.
  3. For every contact, few contact properties are mandatory to add/update, like Contact Type as Candidate, First name, last name, e-mail address, phone number, lead status, candidate role and Contact source.
  4. If there are 2 duplicate contacts, they are required to be merged. To merge 2 contacts: open the contact> actions> merge> search the contact which you want to merge> click on merge.

  5. When a candidate schedules an interview, a deal is created for that particular candidate, which is linked to his contact. To view deals, open hubspot> sales> deals. You can select the “view your deals on board” to display deals based on their deal stage.
  6. Contacts can be assigned to other hubspot accounts if they are not a candidate. To assign contact to other account: open contacts> select the contact which is to be reassigned> assign> select contact owner> update
