Information to gather from HubSpot Management Clients

This Internal KB comprises of the complete information that needs to be collected from HubSpot Management Clients

HubSpot has many features, but the availability and functionality of HubSpot features depend upon the specific type of license the client holds. 


List of questions to be asked from the client:-

  1. Which HubSpot licenses do you have?
  2. If the client does not know how to check his HubSpot license, share this link - https://knowledge.hubspot.com/account/manage-your-hubspot-subscription#:~:text=In%20your%20HubSpot%20account%2C%20click,usage%2C%20and%20paid%20user%20assignments
  3. If the client does not have any idea about the scope of work, suggest a portal audit and ask them to provide super admin access to hubspot@webdew.com
  4. If they have a fixed scope of work, ask them to share it with us.
    1. If the work is related to CRM Setup, ask them about the things they want us to implement inside their portal. For example - data migration, Integrations with other apps, etc. 
    2.  If the work is related to Pipeline Creation,  ask them about the stages that will be there.
    3. If the work relates to Form Creation, ask them about the field, the type of fields they want inside a form, and other specific information they want inside it.
    4. If the work is related to Importing Data, ask them about the number of deals and contacts they want us to import.
    5. If they want any kind of Automation and workflow, ask them to share the flow or the steps they want to be automated. For example;- if a client wants to automate his sales process, so ask him to share his sales process.
    6. If they want any Reports to be created, ask them about the specific reporting requirements or dashboards they want to create in HubSpot.
    7. If they want any Integration with other applications, so always confirm the direction of the flow of information that the client wants from that integration. (It can be unidirectional or bidirectional.)
    8. If they want to run any Campaign:-
      1. Ask them about the details related to the campaign.
      2. If they want Marketing Email Campaigns, ask the following things:-
        1. Do you want both the design and development of marketing email templates?
        2. Do you have the content for the templates?
        3. Do you have any references?
        4. Do you have specific branding guidelines or design elements that should be incorporated into the template?
